How We Built a More Relaxed Creative Workflow (Without Letting Clients Down)

Because burnout isn’t part of the business plan.

Let’s be honest.

The way most creative businesses are set up? It's a recipe for burnout.

Late-night proposal edits. Frantic file handovers. Endless admin that eats into the actual creative part of your work. We’ve been there — and we knew something had to change.

Over the past few years, we’ve slowly rebuilt our workflow from the inside out. One that prioritizes clarity, calm, and space — not just for us, but for the clients we work with too.

Here’s what that looked like — and how you can do it too.

1. We created a streamlined hub via Dubsado (aka a calm corner for every project)

You know that chaotic inbox search for links, timelines, and feedback threads? Gone.

Now, every client gets access to a beautifully branded Dubsado project hub, — a one-stop space for:

  • Key dates

  • Forms and questionnaires

  • Tutorials & Resources

  • Contracts and key details

It’s one of the easiest ways to reduce overwhelm for everyone involved — and it's all within our Dubsado Resource Guide if you’re ready to steal our setup.

2. We automated our offboarding process

We used to dread the final handoff. Sending files, writing wrap-up emails, wondering if clients felt totally supported or totally lost.

Now? It’s smooth and completely systemized. Spoiler Alert – this is also done with Dubsado (it’s honestly a game changer for a calmer business!)

Every project ends with:

  • An offboarding email (pre-written, just update their name)

  • A feedback form + testimonial request

  • A final handover doc with all the files, links, and “what’s next” notes

  • Optional next steps if they want to rebook or refer

Bonus for website designers: We also built a gorgeous Squarespace 7.1 Help Guide offboarding doc you can drag and drop into your own site design process. It’s honestly life-changing.

3. We gave ourselves room to breathe (without ghosting clients)

This was a big mindset shift.

We stopped trying to be "on" all the time and built buffer zones into our calendar — without sacrificing client communication.

Here’s how:

The result? Clients feel supported. We feel human.

4. We embraced templates as a form of self-care (really)

Because decision fatigue is real. And creative energy is precious.

Every email we don’t have to rewrite, every doc we don’t have to redesign, every process we don’t have to rebuild from scratch — that’s space we get back for the creative work we love (and the lives we want to live).

That’s why we created templates in the first place. And why Creative Process Co. exists: to give you back that time, too.
